
Booking your Trip
From your first contact with us to well after your trip has ended, you will always be treated as an individual, as a friend. We strive for a personal focus and all of our communication with you will reflect that.
Our booking process generally consists of:
- Information Gathering - Through our on-line forms or by email (aventura@pasonorte.ca) or phone, we gather all of your details and strive to understand your vision of the trip
- Quoting/Pricing - We work with you to put together an itinerary and to prepare a detailed quote. We will revise as necessary to achieve exactly what you are looking for. For programmed safaris or self-guided travel, pricing is fixed, and the quoting stage will not necessary.
- Booking - To accept a quote and confirm the booking as quoted, we request a reservation form to be filled out along with the corresponding deposit (amount depends on type of trip).
- Travel Insurance - Upon receiving the signed reservation form and deposit, we will immediately send you information regarding travel insurance pricing and options.
- Confirmation - Upon receiving the signed reservation form and deposit, and having confirmed all the individual components of the trip, we will send the corresponding invoice, showing the balance due and due date. This serves as the confirmation of the trip. If any components of the trip as quoted are unavailable, we will let you know and offer alternatives at that stage, including the possibility to cancel with full refund of deposit if preferred.
- Final Payment - Final payments are due before trip start date. The due date depends on the type of trip, but in general is 45 days before the trip.
- Documentation - Once final payment has been received, the final detailed itinerary and necessary trip documentation will be emailed to you. The hard-copy documentation will be sent to the hotel of the first night of your trip for your convenience, or will be handed over to you in person by the local representative or guide at the arrival airport (if meet & greet at the airport is included in your trip). We do offer the option to receive the complete hard-copy documentation to your home address before the trip, but at an additional cost.
Please pay careful attention to our terms and conditions of booking, especially the cancellation policy. We recommend trip cancellation insurance as well as Emergency Medical insurance to all our clients.
